Duties of the Preceptory Registrar

Administrative Excellence within the Province of Essex

The Preceptory Registrar acts as the officer responsible for the administrative activities of the Preceptory and is equivalent to the general role of Lodge Secretary or Chapter Scribe Ezra. Duties include, but are not limited to, the following core areas:

Administration

  • Prepare and retain Preceptory records and forms.
  • Prepare and circulate Annual Returns.
  • Coordinate Provincial Appointments and Promotions.
  • Liaise on Great Priory, Provincial, and Preceptory matters.
  • Establish the need for and coordinate dispensations.
  • Manage membership status (Resignations, Exclusions, etc.).
  • Coordinate and approve By-Law changes.

Summons

  • Prepare the Preceptory summons.
  • Issue summons to members and Provincial Officers (Prior, Sub-Prior, Vice-Chancellor, Marshal, etc.) at least 14 days before meetings.

Meetings

  • Prepare, circulate, and retain Preceptory minutes.
  • Ensure Treasurer’s accounts and Almoner’s reports are included in the minutes.
  • Coordinate booking the venue and Festive Board.

Membership

  • Verify applicant qualifications and ensure completion of KT/Malta forms.
  • Include candidate details in the summons.
  • Manage the voting and approval process for candidates.

Officers & Planning

  • Verify qualifications for Preceptor Elect and Treasurer.
  • Document proposed officers with the Preceptory Committee.
  • Establish the programme of work with the Preceptor and Marshal.
